  • Overview

    Provides high-level information systems and administrative-project support for the Nursing Division and supporting departments, including  its internal and external customers. Performs diversified administrative and coordination functions.  Works with minimal supervision. 

    Responsibilities

    • Designs/develops,manages, monitors, and oversees informational administrative systems needed to facilitate efficient operations. Acts as a resource pertaining to the functioning of the Division of nursing and supporting department; Quality, Patient Safety, and Compliance program. Primary system administration for this role is the management of the policy system and managing the policy process.
    • Assists in the development, implementation and maintenance of structures and processes that support the department's priorities and initiatives; enables the collection, storage and analysis of data, and complies with external and internal policy and procedure requirements.
    • Coordinates the activities of department related committees and subcommittees including, agendas, meeting reminders, presentations, and meeting minutes.
    • Coordinates the policy and procedure process for Copley including managing templates, tracking revision dates, collaborating with document owners to ensure timely completion of review and publication.
    • Coordinates and supports the work of the department through the application of project management tools and techniques. Develops and maintains a system which coordinates all departmental projects.
    • Assists in the development of process improvement and patient safety data collection, maintenance and reporting systems for the department.
    • Provides confidential administrative support to department director, including the coordination and facilitation of administrative operations. Screens and assigns priority to correspondence, requests, and inquiries. Assumes responsibility for appointment scheduling, meeting arrangements, reports, and maintenance of administrative files, data entry and other administrative/clinical support projects.
    • Participates as a member of the department's team in operational planning forums and processes. Identifies opportunities for system design, policies/procedures, and process improvements and contribute to improvement efforts.
    • Performs general office duties, maintaining office supplies and records.
    • Enhances professional growth and development through participation in educational programs, current literature, in-service meetings and workshops as available.
    • Performs special projects and other related duties as assigned or requested.

    Qualifications

     

    Education Requirements:

    High school diploma or equivalent

     

    Education Desired:

    Bachelor's Degree

     

    Experience Requirements:

    3 years of  executive level administrative support experience

     

    Skill Requirements:

    Ability to function independently
    Excellent administrative skills including meeting scheduling, typing and proficiency with a  range of office equipment and software, including Microsoft Word, Power Point, Excel, Outlook, Visio, and Multiview
    Ability to prioritize and manage multiple projects simultaneously
    Ability to deal effectively with people
    Ability to maintain confidentiality
    Excellent organizational skills
